1. About This Policy

ProPace Sport Inc. ("ProPace", "we", "us", "our") is a federally incorporated Canadian company based in Kitchener, Ontario, Canada. ProPace operates a software platform providing AI-powered program management for racquet club professionals and their members.

This Privacy Policy explains how we collect, use, disclose, and protect personal information in accordance with Canada's Personal Information Protection and Electronic Documents Act (PIPEDA), applicable provincial privacy laws, and where applicable, the EU General Data Protection Regulation (GDPR) for international members.

By using ProPace, you consent to the practices described in this policy.

2. Information We Collect

Account information (name, email, club affiliation), program and member data your club chooses to store in ProPace, communications you send through ProPace, integration data from connected services (where you authorize it), and standard usage diagnostics. We do not sell personal information.

3. How We Use Information

To operate the service, deliver communications you send through ProPace, provide AI-assisted drafts, sync court bookings and ratings with connected systems, and support and improve the product.

4. Legal Basis

We process personal information based on your consent, the performance of our agreement with your club, and our legitimate interests in operating and improving the service, subject to your rights under applicable law.

5. AI Processing

ProPace uses third-party AI providers (currently Anthropic) to generate drafts of communications and assist with administrative tasks. Anthropic processes data on our behalf as a service provider under enterprise data processing terms. ProPace does not allow Anthropic to use member data to train AI models.

6. Email Delivery

Transactional email is delivered through Resend on our behalf. Member-facing email is sent from noreply@propace.io with appropriate authentication (SPF, DKIM, DMARC). Suppression lists are honoured for bounces and unsubscribes.

7. Cookies and Local Storage

We use cookies and browser storage strictly for authentication, session management, and remembering your preferences. We do not use third-party advertising cookies.

8. Data Sharing and Disclosure

We share personal information with the following sub-processors that help us operate the service, under written agreements:

  • Supabase — database and authentication (SOC 2 Type 2 compliant)
  • Resend — email delivery
  • Anthropic — AI generation
  • Lovable Cloud — hosting
  • CourtReserve — court booking integration, where applicable per club
  • DUPR — pickleball rating data, where applicable per member
  • UTR — tennis rating data, where applicable per member (when integration goes live)

We disclose information when required by law.

9. International Transfers

Some of our sub-processors are located outside Canada. Personal information may be processed in the United States and other jurisdictions subject to local laws. We rely on contractual safeguards with each provider.

10. Data Retention

We retain personal information for as long as needed to provide the service, comply with legal obligations, and enforce our agreements. Clubs may request export or deletion of their data on account closure.

11. Your Rights

You may access, correct, or delete your personal information, and you may withdraw consent for optional processing at any time. EU and UK residents have additional rights under the GDPR including data portability and the right to object to processing. Contact us using the details in Section 14.

12. Security

We use industry-standard technical and organizational measures to protect personal information, including encryption in transit, access controls, and audit logging on infrastructure providers.

13. Changes to This Policy

We may update this policy from time to time. The current version and its effective date will always be available on this page. This version reflects the incorporation of ProPace Sport Inc. on June 15, 2026.
